Cancellation Policy:

The exhibiting sponsorship fee is due 30 days prior to the event.  If an exhibiting sponsorship is cancelled prior to 60 days out from the start of the event, a full refund of any payment received will be issued. If cancellation is made between 59 & 31 days out from the start of the event, 50% of the sponsorship fee will be due immediately upon receipt of cancellation.

No portion of the exhibiting sponsorship fee will be refunded for cancellations received 30 or fewer days out from the start of the event, nor will any remaining balance due at the time of the cancellation be waived.  Any company that cancels and fails to remit the required payment will be prohibited from exhibiting or attending future BTA events until the account is paid in full.  Forfeited payments will not be held as a credit or applied to a future BTA district event.

 Exhibit Details:

  • All exhibitors will receive a six-foot skirted table and two chairs in the exhibit area, which will be in the same ballroom as the educational sessions. BTA will provide each exhibitor with a "Winter Break 2015" sign at their table with their company logo.

  • Setup: Thursday, March 19, from 2-7pm (show begins at 8 am Friday); Dismantle: Saturday, March 21 beginning at Noon.  

  • NOTE: Early dismantling of your booth will not be allowed. Please plan your travel accordingly.

  • All Premium Sponsors will have an opportunity to speak before the attendees for five minutes, plus guaranteed Disney theme park tickets. Click here to upgrade to a Premium Sponsorship.

Friday, March 20

Winter Break begins at 8 a.m. with opening comments and the keynote session — a dealer panel moderated by Jim Kahrs of Prosperity Plus Management Consulting Inc. Following the panel, two educational sessions will be held, followed by lunch. After lunch, three more educational sessions will be held, including John O'Leary's special presentation. Breaks between sessions will give attendees time to visit with peers and exhibiting sponsors. A welcoming reception will be held from 5:15 until 7:15 p.m.

Saturday, March 21

Breakfast will be served from 7:30 until 8 a.m., followed by the final educational sessions, closing comments and prize drawings. Breaks will also be held between sessions for attendees to network with peers and exhibitors. The educational portion of the event will end at 12:15 p.m.

From 2 to 9 p.m., the event will wrap up with a trip to one of the Disney theme parks of your choice: Magic Kingdom, Epcot, Hollywood Studios or Animal Kingdom. If you are extending your visit to Orlando and would like to visit other Disney theme parks, BTA Southeast has arranged for discounted ticket availability.

Any boxes, crates or skids shipped to the hotel will be subject holding fee, per box, per day.

Parcel Handling Fees 
Handling fee includes receipt of item from carrier, storage for up to 3 days, onetime Guest package delivery or pickup, placing item with carrier for shipment, and tracking. Postage is not included.

  • Envelope: $3.00
  • Small Box: $3.00 (up to 4 lbs)
  • Med Box: $5.00 (5 lbs – 20 lbs)
  • Large Box: $10.00 (21 lbs – 70 lbs)
  • Golf Club: $10.00
  • Display Cases: $15.00
  • Pallets: $70.00 per 100 lbs

Event Promotions:

  • Optional Fishbowl Drawing: The event will conclude with prize drawings from participating exhibitors. These "fishbowl drawings" are designed to generate dealer attendees at your table and allow for you to collect business card leads. At the close of the event, all participating sponsors will be asked to come to the front of the room to draw from their fishbowl for a prize winner. Prizes could include things like a gift card, digital camera, iPod, etc.
  • Stamp Cards: To better generate visits to your table, BTA will distribute an exhibitor "stamp card" that requires dealer registrants to visit each table to get their passports stamped by at least 35 exhibitors to be put into a drawing for a $500 worth of American Express gift cards from BTA. Stamps will be provided by BTA.
  • Dedicated Email Promotions: In your contact with dealers as you encourage their attendance at BTA Southeast's Winter Break, please keep in mind that the event is open to both members AND non-members of BTA. In addition, dealers from throughout the country are encouraged to attend, not just those in the Southeast district. Please use your customized PDF and GIF to promote the event.
